What is a variable expense? Meaning, examples and how to plan for them

A variable expense changes in amount from month to month, like groceries, gas or an electric bill. Here is what counts and how to plan around the swings.

A variable expense is a cost that changes in amount from month to month, like groceries, gas or a power bill.

What a variable expense is

The Consumer Financial Protection Bureau (CFPB) defines variable expenses as expenses that change in amount from month to month. The bill might come every month, but the number is different each time.

Groceries, gas for the car, restaurants, clothing, the electric bill in a hot summer and a haircut all fit. Some of these you control and some you do not. A heating bill follows the weather. A dinner out follows your mood.

Why they are harder to budget

A fixed expense gives you a number. A variable expense gives you a range. The usual way to handle that is to look back at a few months of real spending and use the average as the plan, then watch it during the month.

A common mix-up is calling a variable expense a want. Groceries are variable and still a need. The question is how much the amount moves, not how much you care about it.

Another is the bill that is both. A utility company charges every month, so it feels fixed, but the amount follows use. If it swings, treat it as variable and plan with an average.

For a couple

Variable costs are where couples most often disagree, because they are the ones either person can change. Agreeing on one monthly number for groceries, for example, is easier than arguing over each trip. Our budget categories guide lists the usual ones.

Planning a variable expense from three months

  • Groceries last three months: $540, $610, $575
  • Total: $540 + $610 + $575 = $1,725
  • Average: $1,725 / 3 = $575 a month
  • Plan $575 for groceries and check on it each week
  • If this month ends at $610, that is $35 over the plan: $610 - $575 = $35
